Additional rules GUEST TERMS & CONDITIONS OF SHORT TERM HOLIDAY ACCOMMODATION These conditions are an agreement between parties. Any infringement permits the Agent or Owner to refuse a key, amend the rental and/or terminate the Tenancy without refund. Variances can be agreed on but only by arrangement with the owner in writing. Under the Privacy Act 2000 we are required to have the attached privacy collection notice signed and on file for all holiday tenants. Please complete and return to us as soon as possible. BOOKINGS We welcome you to view the property prior to booking either in person or on our website .Tenants hereby accept the premises as booked and cannot be relocated. With regard to telephone bookings we accept no responsibility for miss-description. Bookings are accepted by us in good faith as agents for the property owners. We cannot be held responsible for actions taken by the owner of the premises or other occurrences that are outside of our control such as if The tariff is increased prior to your occupation The property sold The property is altered in any way Malfunction of any inventory articles The property is withdrawn from letting The description of the property is on our website .This description is given in good faith. We are careful not to misrepresent any holiday property, however we cannot be held responsible for changes to or items removed from the property. The holiday property is furnished to the individual owner’s style and we take no responsibility for any unmet expectations of guests. No refund is given if you are not satisfied with your accommodation. We cordially invite you to view the property prior to confirming your booking. OWNER OCCUPANCY An owner has the first right of occupancy, ALL BOOKINGS are made in good faith but may be subject to change as the owner may request occupancy of the property prior to your arrival. We regret we cannot take responsibility for actions taken by the owner, but we will make every effort to offer alternative accommodation should this occur. BOND We request a copy of a credit card and drivers licence at least 7 days prior to occupation. Failure to supply these promptly may result in your booking being cancelled. Credit card details are held until after the property has been cleaned and inspected by our regular cleaners. KEYS Keys will not be made available until ALL monies have been paid in full. Arrangements for the collection of keys outside of office hours should be made prior to arrival, a fee may apply. Upon departure, all keys are to be returned to our office or as directed. Afterhours, place keys in the slot in office front door. If keys are not returned to us, a key collection fee will apply. ARRIVAL AND DEPARTURE TIMES Arrival is between 2.00pm & 5.00pm and no earlier than 3.00pm from 15th December through to 12th January. All keys may be accessed at the property via lockbox and must be returned and secured or picked up and must be returned to our office as directed. Departure time is 10.00am sharp. A charge of $50 per hour will be charged for late check out. It is the guest’s responsibility to advise our office during business hours if they will be late or have been delayed to arrange alternate key collection. The Agent cannot be responsible for alternate accommodation or any other costs when guests arrive after hours if no prior arrangement has been made. AFTER HOURS Our after hour phone number is 0493 620 716. Please be aware that this is for emergency calls ONLY, and any unnecessary call outs will incur a cash fee. LINEN All properties are let WITHOUT LINEN. Tenants must supply their own sheets, towels, pillowslips, doona covers, bath mats & tea towels. BREAKAGES Any property damage, breakages or loss of furniture incurred during tenants stay is to be reported and paid for immediately. All breakages incurred during your stay, will be automatically charged to your credit card. Upon arrival you must notify our office immediately of any items of concern in your holiday property. SCHOOLIES Under instruction from our owners we are unable to accept schoolies bookings as we do not have the policies, procedures or resources to accommodate these bookings. NO SMOKING Please note all holiday properties are Non Smoking. No cigarette butts are to be left on the ground. PETS Pets are not allowed unless you have booked a specified pet friendly property. CLEANING Please ensure all dishes are washed and put away and any cooking appliances used are also cleaned to their original condition. Beds are to be left in the same condition as they were presented on arrival. Additional cleaning fees may be charged to return the property to its condition on your arrival. A fee of approx. $50 or more may apply. If, upon occupation, the property or contents failed to meet acceptable cleaning standards every endeavour will be made to rectify the problem. However, this shall not constitute grounds for cancellation or refund. OCCUPANCY The number of occupants, INCLUDING CHILDREN must not exceed the number stated at the time of booking. OVERCROWDING of the PREMISES WILL NOT BE ALLOWED BY THE HEALTH AUTHORITIES, OWNERS OR AGENTS. Setting up makeshift structures i.e. tents or caravans and accommodating more persons than the property permits is prohibited The guest who made the booking must stay at the property and will be held responsible for the conduct of all other guests. Parties and functions are strictly prohibited. The price charged is for domestic use only and not commercial. Accordingly this rate does not allow for the extra wear associated with functions in terms of cleaning, garbage removal, wear and tear, repairs etc. Use contrary to this may result in loss of your bond and/or additional payments. DISPUTES The Agent reserves the right to resolve any dispute on behalf of all the involved parties. INDEMNITY You, the Guest, indemnify the agency against any liability which may attach to the agency as a result of damage, injury or loss being personal or proprietary suffered by any person where damage, injury or loss has been contributed to or caused by any act or occasion of the tenant or his visitor. These conditions are an agreement between the parties. Any infringement of the above conditions permits the agency to refuse a key, amend the rental or immediately terminate the booked stay. VACATE DEMAND The Tenant must vacate the premises upon demand of the Agent or Owner without refund upon breach of this agreement. Infringements include incorrect information supplied to the agency upon booking the property, causing malicious damage to the property being/causing a public nuisance, excess noise, accommodating more persons than agreed setting up makeshift structures or ignoring warnings or requests from the agent. NOISE RESTRICTIONS The Bass Coast Council Bylaws state that loud noise cannot occur outside the following hours: Monday – Thursday 7am – 10pm Friday 7am – 11pm Saturday & Public Holidays 9am – 11pm Sunday 9am – 10pm All properties are located in residential areas and the agency asks that the tenants are considerate regarding noise outside the hours above. COUNCIL REGULATIONS It is a breach of council regulations to light fires in the open at any times. INSPECTIONS The Agent or Landlord can make an inspection of the premises upon demand. In the event the property being offered for sale, the guest agrees to allow the Agent to inspect the property with prospective purchasers during reasonable hours by appointment. RUBBISH There are three bins provided one for recycling, one for household waste and one for green waste. Please use appropriately. The bins are to be put out for Council collection during the week (Tuesday night) and return it to the front of the property after collection. Please take any excess rubbish to the tip. Rubbish left at the property will incur a removal fee upward of $35.00 depending on the amount of rubbish needing to be removed. LOST & FORGOTTEN ITEMS Please check carefully before you leave the property, as we cannot guarantee any items left in properties will be found and returned to you. If it is necessary to return any items to you by post, we will do so provided that the postage and handling costs are paid. All lost items will only be held at our office for 1 (one) Month. TENANCY REGISTER Coastal Retreats participates in the Bad Books register. By accepting this booking you hereby agree that if you or any occupant covered by this booking, including any guests, breach our Terms and Conditions then your Name, Phone Number and Email address along with details of the breach/breaches may be disclosed to the property landlord and/or other agents participating in the Bad Books register. Coastal Retreats reserves the right to cancel a booking where a guest is already in the Bad Books register. Privacy Act 2000 The personal information the Tenant provides or that which is collected from other sources is necessary for the Agent to verify the Applicants identity, process and contact tenant. The personal information collected about the Tenant may be disclosed for the purpose for which it was collected to other parties including the Landlord, our staff, our cleaners or contractors if a problem arises, the police (if a problem arises) referees, financial institutions, other agents, third party operators of tenancy reference databases and other third parties as required by law. Information already held on tenancy reference databases may also be disclosed to the Agent or Landlord. If the Tenant would like to access his/her personal information held by the Agent, they can do so by contacting the Agent at PO Box 586 Cowes Vic 3996. The Tenant can also correct this information if it is inaccurate incomplete or out of date. I have read and understand the above statement and consent to my personal information being forwarded to the above when necessary upon accepting these terms and conditions CONDITIONS OF BOOKING The person signing this document and/or actually occupying the accommodation or utilising outlined services agrees to be bound by and accept the Terms & Conditions outlined upon payment of deposit. I hereby authorise Coastal Retreats to retain the credit card details on file. As the guest I am fully responsible for all damages/losses/additional cleaning, rubbish removal/lost keys, additional persons/admin fees etc. that are incurred during our stay caused by any person residing at the premises during the booked period which I understand will be deducted from my credit card. PLEASE NOTE: If the matter is placed in the hands of debit collectors, all costs incurred due to recovery of monies, will be the responsibility of the person on the booking .I understand and Agree to the following conditions listed below with relation to my booking upon payment THE PROPERTY IS EXPECTED TO BE RETURNED AS IT WAS FOUND. FAILURE TO DO SO WILL RESULT IN CHARGES TO YOUR CREDIT CARD. PLEASE ADVISE OUR OFFICE IMMEDIATELY UPON ARRIVAL SHOULD YOU IDENTIFY ANY ISSUES SO WE CAN CHARGE THE PREVIOUS BOOKING ACCORDINGLY. FAILURE TO DO SO WILL RESULT IN THE ISSUES BEING CHARGED TO YOUR BOOKING. GAS BOTTLES (bbq) – should the gas bottle run out of gas you will be reimbursed the cost of swap & go upon providing us with a receipt. Some properties do have a spare bottle onsite. SHOULD ANY ISSUES BE PRESENT – DO NOT ATTEMPT TO RECTIFY – We will send a representative to complete the task and charge the previous guest accordingly.
